Media Assistant, Operations Team

Role

We are looking to fill a full-time employee position in the role of Media Assistant, Operations Team. The Media Assistant will work across the CAD and U.S. team to manage the post-log/pre-log process, traffic process, and invoice reconciliation process within Mediaocean SpectraOX. This role will also provide account support to the Linear Media and Account Management teams, as assigned and needed. This role will require a team player who is process-oriented, has strong accuracy and attention to detail. Well-developed organizational, time management, problem solving skills and ability to take initiative will also be critical to success.  

Responsibilities

  • Working closely with GainShare Team and your manager to identify target audiences and develop strategies to target them beyond age/gender/contextual dimensions, leveraging addressable, data-driven linear and other emerging linear solutions. 
  • Update monthly checklist of station invoices received and reconciled to provide internal teams with daily status of progress. 
  • Match station invoices to spot runs in our DRTV media software program, identifying and resolving discrepancies with support from media buyers. 
  • Responsible for identifying and tracking discrepancies, which include contacting various station accounting departments to ensure timely submission of invoices and issue resolution.  
  • Reconcile invoices against media plans and final delivery reports and enter all info into Actualized Report. 
  • Provide data entry related to client campaigns and their response data including media invoice entry and matching; ensure proper coding of all data entries. 
  • Work with the media team to request and follow through on any make good or credit notices required from stations prior to approving invoices. 
  • Management of weekly post-log/BVS upload process from start to finish - updating weekly station post-log checklist to provide internal teams status of progress, working with third party and internal team (station contacts, Kantar, data & analytics team, and media buyers) to obtain, ensure accuracy & input weekly spot data. 
  • Request weekly pre-logs from stations where needed and formatting into required template. 
  • Monitor traffic schedules, issue traffic instructions to station traffic departments as per industry and campaign timelines, and upload traffic to Mediaocean.
  • Provide account support as needed with obtaining required broadcast clearances, maintenance of monthly BVS list for Kantar, stamp & process vendor invoices, checking avails & rates, checking media contracts, finalizing media plans, and inputting buys to Mediaocean. 

Requirements

  • Post-secondary degree or diploma with at least 1-2 years of administrative assistant work experience, concentration in advertising, marketing, business administration, and communications preferred. 
  • Highly proficient in Microsoft Office programs including Word, Excel, PowerPoint, SharePoint and Outlook. Includes ability to conditional format, pivot tables and VLOOKUP.  
  • Must be comfortable with numbers. 
  • Must be extremely organized, detail-oriented and able to produce accurate work products. 
  • SpectraOX or Prisma by Mediaocean workflow experience a plus. 
  • Advanced Adobe Acrobat skills.  
  • Excellent time-management skills, be a self-starter, multi-task and meet assigned deadlines  
  • Demonstrated critical thinking and problem-solving abilities.  
  • Excellent communication and teamwork skills.

Additional Information

  • General work hours 9am to 5pm ET.
  • This position is full-time hybrid and reports to Manager, Media Operations.
  • Salary TBC.
